Season passes and releases

Where: Operations → Season passes. Who: cashiers, managers and owners; releases also beach staff.

A season pass reserves a spot to a customer for the whole season. When the holder is not coming, they can release the day: the spot goes back on sale and, if it is resold, the holder accrues a credit.

The season’s passes are grouped by zone and row, with Spot, Subscriber, Period, Status, Releases, Credit and Balance.

  1. New season pass.
  2. Choose the Subscriber, the Season, the Pack and the Time slot.
  3. Choose the Spot among those free for the whole season.
  4. Optional: From / To (empty = season opening and closing) and Internal notes.
  5. Check the List price and the deposit due, then Create season pass.

The price comes from the price list with the Season formula (usually a fixed-duration price). For an agreed price use an agreement or a dedicated price rule. Payments and cancellation are handled from the linked booking (Open the booking).

  1. Open the pass: the release calendar shows the days Released, Resold and those you are Selecting.
  2. Tap the days to release and choose the Part of the day to release.
  3. Optional: a Note.
  4. Release N days: the spot is immediately bookable at the desk and online.

A single day can also be released from the map of the day with Release day; the spot appears as Season pass holder away today.

If the policy allows it (Customer can release season days), the holder releases days by themselves from the manage area with the magic link.

Revoke (in the Released days list) gives the spot back to the holder. It is not possible if the day has already been resold.

With Credit for released days enabled in the policy, every released and resold day earns the holder a credit equal to the chosen percentage: you see it in Credit accrued and on the customer record. The credit never goes below zero.

The price of a season pass comes from the price list. For a special agreement (long-standing customer, agreed package) the owner or the manager can replace it:

  1. Open the pass: the Price section shows the Total.
  2. Set manual price, enter the New total and the Reason (required).
  3. Save price.

The section then shows Manual price, the Price list amount computed by the engine, the reason and when it was changed. Back to price list restores the price list amount shown in the section (the one the engine computes for the current spot and period). Moving or editing the pass does not touch the manual price: only the price list amount shown beneath it changes. The new total cannot be lower than what was already paid. Every change goes to the activity log with previous price, new price and reason; the price breakdown accepted at creation stays unchanged. The cashier role sees the price but cannot change it.

At the end of the season the season rollover prepares the next season and a renewal campaign offers every pass holder the same spot, with right of pre-emption. The credit accrued by the holder is used as a payment method at the desk, from the booking’s manage link and when accepting the renewal (see Customer credits).
