Privacy and GDPR

This page helps operators use Arenile in compliance with Regulation (EU) 2016/679 (GDPR) and the Italian personal data protection code.

Party GDPR role Notes
Establishment operator Controller Decides purposes and means, answers to data subjects.
Whoever hosts the service (VPS provider, IT person who runs the server for the operator) Processor (art. 28) A data processing agreement (DPA) is needed.
Stripe (if you enable online payments) Per Stripe’s terms Check the data processing agreement in your Stripe account.
SMTP provider (if you send emails) Processor Check the provider’s DPA.
Coste360 SRL No role in a self-managed installation Develops the software but neither receives nor processes the data of your installations. No telemetry by default.
Category Data Purpose Legal basis (indicative)
Online booking First name, last name, email, phone (optional if you decide so) Manage the booking, send confirmation and manage link Performance of a contract
Desk customers and season pass holders As above, plus internal notes and history Managing the relationship and the passes Performance of a contract
Payments Amounts, method, transaction references (card data stays with Stripe) Collection, refunds, accounting Contract and legal obligation
Marketing Separate and optional consent, with date, source and text version Offers and news Consent
Panel users Email, role, sign-ins, activity log Security and traceability Legitimate interest
Technical data IP for request limits, logs without emails and phone numbers in clear Service security Legitimate interest

Arenile does not require special categories of data (art. 9). Avoid writing health information in notes; if needed for accessibility, keep it to the minimum (for example “accessible spot”).

  • Minimisation: first name, last name and email are enough to book online; the phone can be required or not. No customer account.
  • Versioned terms and privacy notice: each published version is immutable and each booking stores the accepted version and the moment of acceptance.
  • Separate marketing consent, optional, never preselected, with date, source and text version.
  • Export of a customer’s data as JSON from their record (right of access and portability).
  • Anonymisation on request: name, contacts, notes and consents replaced for good, while bookings and payments stay for accounting obligations (art. 17.3).
  • Protected recipients: the addresses of sent emails are stored encrypted and masked in the log.
  • No third-party cookies in the widget and no tracking by default.

The CSV file uploaded in Import data (names, emails, phone numbers) stays in the database only as long as it is needed: it is deleted as soon as the import is applied, failed or discarded, and after 7 days anyway when it is never applied. Until then its contents are not covered by the anonymisation of a single customer nor by the export of their data: discard the files you will not use.

To show the new version notice, every installation (server and desktop app) reads a public file from the Coste360 server once a day. The request contains no data of customers or of the beach, no cookie and no identifier: it reveals only the version, edition and operating system (User-Agent) and, like any HTTP request, the IP address of the installation. Coste360 uses this information only for aggregate counts. Turn it off with ARENILE_UPDATE_CHECK=false or from the desktop app settings (see Upgrades).

  1. Publish the privacy notice and the conditions on the public page (Configuration → Public page, conditions section) and bump the version at every change.
  2. Appoint the processors (hosting, SMTP, any support provider) with an art. 28 agreement.
  3. Keep the record of processing activities (art. 30) if required: it is good practice anyway.
  4. Assign panel roles on a least-privilege basis (beach staff, cashier, read only).
  5. Protect the backups: they contain personal data.
  6. Handle data subject requests within one month with export and anonymisation (see Customers and GDPR).
  7. Breaches: consider notifying the supervisory authority within 72 hours (art. 33).
  8. If you add analytics or advertising pixels to your website, handle cookie consent on the website: they are outside Arenile.

Use this outline as a basis for the notice under arts. 13 and 14 GDPR. Replace the parts in square brackets.
