Team and roles
Where: Configuration → Users. Who: owners only.
Everyone who uses the panel has their own user, with a role that decides what they can do. Permissions are checked in the core of the program, not just by hiding buttons: a role cannot do what it is not allowed to, not even by calling the APIs.
| Role | For whom |
|---|---|
| Owner | The owner: everything, including users and payment credentials. |
| Manager | Whoever runs the establishment: configuration, prices, bookings, cash desk, refunds, reports. |
| Cashier | Whoever works the desk: bookings, payments and cash desk, check-in. |
| Beach staff | Whoever does the rounds: map, check-in, releases. |
| Read only | Whoever only needs to look: accountant, partner. Map, bookings, reports. |

Adding a user
Section titled “Adding a user”- Invite user.
- Email, Name, Role, panel Language.
- Scope: This establishment or Whole organization (all the organization’s establishments).
- Initial password: optional. If you leave it empty one is generated and shown only once: share it securely.
- Add user.
If the email already has an account (for example a colleague from another establishment), the user only gets the new role and keeps their password.
Managing users
Section titled “Managing users”- Role of…: change the role from the list.
- Deactivate / Reactivate: a deactivated user cannot sign in and their open sessions are closed at once. Always deactivate people who no longer work at the beach.
- Revoke access: removes access to this establishment.
- The 2FA column shows who has two-step verification enabled.
Two-step verification
Section titled “Two-step verification”With two-step verification (TOTP), signing in also requires the 6-digit code of an authenticator app. Whoever runs the
server can make it mandatory for owners with ARENILE_REQUIRE_TOTP_FOR_OWNERS=true: in that case an owner without 2FA
is asked to enable it before continuing.
Good practice
Section titled “Good practice”- One user per person: never shared accounts, so the activity log says who did what.
- The minimum role needed: beach staff do not need the cash desk.
- The accountant as Read only: they see the daily takings without being able to change anything.
