Waitlist

Where: Operations → Waitlist. Who: cashiers, managers and owners; the settings whoever can configure the establishment.

When there is no room for the requested dates, the customer joins the waitlist. As soon as a compatible spot frees up (cancellation, day released by a pass holder, expired booking), Arenile holds it for the first in line and emails them the link to book it.

Settings opens the options valid for the whole establishment:

  • Waitlist active: off, no entries are accepted and no offers are sent.
  • Join from the public page: for now through the API only (POST /api/public/v1/{slug}/waitlist, for websites and integrations); the booking page has no join form yet, so the switch is not shown in the panel.
  • Automatic offers: when a spot frees up an offer goes to the first in line; off, offers are only sent by hand.
  • Default offer duration (minutes): how long the spot stays held waiting for the answer.
  1. New entry.
  2. Choose the Customer, the Period, the Time slot and the Pack.
  3. Optional: Zone (or Any zone), Quantity and Note.
  4. Add to waitlist.

Customers who join through the public API (a website or an integration calling POST /api/public/v1/{slug}/waitlist) get an email with the personal link to their request, where they can check it or leave the list. Every new email renews the link: only the latest one works. One open request per address, pack and period: repeats create nothing and send no further email.

The order is the # column: the higher, the sooner the offer. The Move up and Move down arrows change the priority; an entry with a running offer has no number until it is answered.

From the row menu:

  • Offer a spot: choose the Spot (or The first matching one) and the Offer duration (minutes), then Send the offer.
  • Revoke the offer: the spot is free again and goes to the next one.
  • Edit the request or Remove from the waitlist.

Clicking the name opens the detail with the history of the Offers (when, which spot, why, outcome).

The offer email leads to the request page: Spot … has freed up for you! with the deadline.

  • Book now continues in the normal online booking, already at the details and payment step. The confirmation comes as always only from the payment.
  • Decline frees the spot, which goes to the next in line; the customer stays on the list (or leaves it, if they choose so).

When a customer asks for their data to be erased (GDPR), their entries are removed.
